Waitlists & Memos

Maximize your efficiency with these two powerful tools in Noona HQ.

In the fast-paced world of appointment management, staying organized is essential. Noona HQ makes this easy with two built-in features that help you stay on top of your schedule:

  • Waitlists – Easily manage demand and fill last-minute openings.

  • Memos – Set personal reminders right in your calendar.

Let’s walk through how each feature works and how you can use them to stay efficient and stress-free.


🕓 Waitlists

Quickly fill gaps in your calendar caused by cancellations or high demand.

Step 1: Access the Waitlist

  • Click the Waitlist icon in the top right corner of your calendar.

  • It looks like a poster sticker, located between the question mark and notification bell.

Step 2: Add Clients to the Waitlist

Click the + button to get started. You’ll be prompted to:

  • Search for an existing client by name or phone number

  • Or create a new client profile if they’re not already in your system

Step 3: Customize the Waitlist Entry

Once the client is selected, you can:

  • Choose the services they want to book

  • (Optional) Select a preferred staff member

  • (Optional) Set an expiration date to automatically remove the entry later

  • (Optional) Add a comment (e.g., “only available mornings”)

Step 4: Book from the Waitlist

  • Click “Book Now” next to the client’s name

  • Use the calendar to find a slot that fits their needs

Note: In the 'All Staff Members' view, a red dot appears next to a staff member's name. This dot indicates the number of clients currently on that specific staff member's waitlist. For a seamless booking experience, simply click on the red dot to book clients directly from the waitlist. As demonstrated in the video below, this process is designed to be smooth and efficient, ensuring that managing appointments is as effortless as possible. Watch how seamlessly you can transition clients from the waitlist to a booked appointment!

🌐 Online Waitlist (Client-Side)

Let your clients join your waitlist themselves!

  1. Go to Settings → Online bookings → Security

  2. Enable “Allow clients to join your waitlist online”

Memos

Noona HQ's Memos feature offers a straightforward and effective way to keep track of important reminders directly within your scheduling system. Whether remembering a client's birthday, managing invoice timelines, or remembering something personal, memos help you stay organized and on top of your responsibilities.

​Create personal reminders that show up right in your calendar.

Step 1: Open the Memos Section

  • Click the same icon used for the Waitlist

  • Switch to the Memos tab (right next to Waitlists)

Step 2: Create a Memo

  1. Click the + button

  2. Fill in the following:

    • Your name (to assign the memo to yourself)

    • Title – What’s the memo about? (e.g., “Send invoice,” “Client’s birthday 🎂”)

    • (Optional) More details for clarity

    • Date – When should the memo appear?

✅ Your memo will pop up on your calendar on the selected date — no more forgetting important tasks.

Step 3: Stay Organized!

Your new memo is now saved and scheduled to notify you at the right time.
