How to add Rulesets

Rule Sets in Noona HQ determine when and how your restaurant can be booked.

Written by Dominik

Happy hour, weekend brunch or a special evening menu? 🥂 Rule Sets in Noona HQ let you decide when guests can book and under what conditions. They're perfect for setting up your regular opening hours as well as special promotions with their own time slots. Let's take a look and set it up together!

⚠️ Important: Before you start

For bookings to work, you need at least one shift and one experience set up in Noona HQ.

👉 Good to know: Which rule set template wins? 👈

Have more than one rule set template active at the same time? No worries, Noona knows which one to follow! 🧠 The shorter template always takes priority over the longer one. So when a guest books, the template with the shorter duration applies.

For example: You've added a "Winter menu" template for the whole of December, and a "Christmas Eve" template just for December 24. On December 24, the Christmas Eve template applies, and on all other days in December, the Winter menu template applies. 🎄

👇 How to create a new Rule Set

  1. Go to Schedule → Rule Sets.

  2. Click the blue + New button in the top right corner 👇

You'll be offered two options:

  • New Shift: your restaurant's regular weekly service, such as lunch or dinner. 🍽️

  • New Rule Set Template: a reusable set of rules you can add to specific days or periods, such as a summer brunch or Christmas Eve. Set it up once and reuse it again and again! 🔁

🕘 New Shift

Shifts are your restaurant's regular weekly service. Think of them as your standard opening hours, such as lunch and dinner. 🍽️

Here's everything you can set up:

  • Name: give your shift a clear name, for example "Lunch" or "Dinner". ✍️

  • From / To: set the start and end time of the shift. ⏰

  • Repeat: choose whether the shift repeats every week or every other week. 🔁

  • Weekdays: select the days the shift runs on, for example Monday to Friday or weekends only. 📅

How to set up a shift:

  1. Go to Schedule → Rule Sets.

  2. Click the blue + New button and choose New Shift.

  3. Fill in the name, From/To, Repeat and weekdays.

  4. Add any extra rules you need (see the rule types below).

  5. Save. ✅

Your shift is live as soon as it's saved. There's no publish step and no end date. 🚀

📝 Good to know:

  • Shifts can't overlap on the same weekday. That's why lunch and dinner are usually set up as two separate shifts. If your new shift overlaps with an existing one, you'll see a message like "This shift is overlapping with…" and the shift won't be saved. Just adjust the time or the weekdays and try again. 🔄

  • Before saving a shift, make sure you've filled in its name and start time. Otherwise, it can't be saved.

✏️ Edit or delete a shift

Plans changed? No problem! You can edit or delete your shifts anytime. 🔄

To edit a shift:

  1. Go to Schedule → Rule Sets.

  2. Find the shift in the list and click the three dots (⋯) next to it.

  3. Choose Edit shift.

  4. Make your changes, for example to the name, time, weekdays or rules.

  5. Click the blue Save button. ✅

⚠️ Changing the shift's time? Don't forget to update its rules to match!

To delete a shift:

  1. Click the three dots (⋯) next to the shift.

  2. Choose Delete shift.

  3. Confirm by clicking Delete. 🗑️

⚠️ Once deleted, the shift is removed from your schedule, so make sure it's really the one you want to delete.

📋 New Rule Set Template

Rule Set Templates are reusable sets of rules, such as opening hours, online bookings, max guests, booking duration, prepayment or a custom message. Set them up once and use them whenever you need! 🔁

A template has no dates of its own, so it doesn't do anything until you add it to a day or a period.

🪜 Step by step: Creating a template

1) Start a new template
Go to Schedule → Rule Sets, click the blue + New button and choose New ruleset template.

2) Name your template
Give it a name that shows what it's for, for example "Summer brunch" or "Christmas Eve".

3) Add a rule
Click + New in the rules section. You'll need at least one rule to save the template.

Templates offer the same rule types as shifts, plus one extra: Opening hours 🕘

  • Type: Choose Opening hours.

  • From / To: Set the time your restaurant is open, for example 9:00–18:00. ⏰

  • Open: Make sure the toggle is on (blue).

📝 Good to know: In templates, the Opening hours rule decides when your restaurant can be booked. All other rules only apply where they overlap with your opening hours.

Click Confirm. You can add more rules the same way. You'll find all the other rule types explained below.

4) Save the template
Click the blue Save button. ✅ Your template now appears in the Ruleset templates list.

📅 How to apply a template

You can apply a template in two ways:

  • Add to period: In the Ruleset templates list, click the three dots (⋯) next to the template and choose Add to period. It starts from today.

  • + Add in Rules for today: starts from the day selected in the calendar.

Both open the same Add ruleset window, where you set the start date, end date and, for periods of a week or longer, the weekdays. Click Confirm and you're all set! 🎉

In the Ruleset templates list, you'll see how many times each template is scheduled to be used (Future uses) and when it's used next (Next use date).

📝 Good to know: If you edit a template later, the change applies to every date it has already been added to.

✏️ Edit or delete a template

To edit a template:

  1. Click the three dots (⋯) next to the template and choose Edit template.

  2. Make your changes. At the top, you'll see how many future uses the template has. Click View to see them.

  3. Click the blue Save button. ✅

To delete a template:

  1. Click the three dots (⋯) next to the template and choose Delete template.

  2. Confirm by clicking Delete. 🗑️

⚙️ Rule types

Each shift or rule set template is made up of individual rules that you can configure exactly the way you need. Add a rule by clicking here 👇

You can choose from five rule types: Online bookings, Max Pax overrides, Booking duration override, Payments and Custom message. Rule set templates also offer one extra type, Opening hours, explained in the New Rule Set Template section above.

⚠️ Important: Make sure the times match!

The shift's time decides when your restaurant can be booked. Rules never add extra bookable time, they only change how bookings behave within it. That's why each rule's From / To time should always fit within the shift it belongs to. ⏰

  • A rule completely outside the shift has no effect. For example, if your shift runs from 10:00 to 14:00, a Payments rule set from 15:00 to 16:00 won't do anything, and 15:00–16:00 won't become bookable.

  • A rule that only partly overlaps applies only to the overlapping time. For example, with a shift from 10:00 to 14:00 and a rule from 13:00 to 15:00, the rule only applies from 13:00 to 14:00.

💡 TIP: Whenever you change a shift's time, update its rules too! HQ checks the times when you add or edit a rule, but not when you change the shift's time afterwards.

For example: You extend your shift to 10:00–16:00, but your Online bookings rule stays at 10:00–14:00. Your staff can still add bookings for 14:00–16:00 in the calendar, but guests can't book that time online. The same goes for other rules: outside their times, guests won't be asked for a deposit or see your custom message, and your default Max Pax and booking duration apply.

🌐 Step by step: Creating an Online bookings rule

Want to decide exactly which tables and experiences guests can book online, and when? That's what the Online bookings rule is for! 🎯

1) Add a new rule
In your shift or rule set template, find the rules section and click + New. 👆

2) Choose the rule type and time
In the New rule window:

  • Type: Choose Online bookings.

  • From / To: Set the time window the rule applies to, for example 10:30–12:30. ⏰

3) Switch on online bookings
Make sure the Online bookings toggle is on (blue). This lets guests book online during the selected time.

4) Choose available tables 🪑
You'll see how many tables are available and unavailable, for example "17 tables available, 0 tables unavailable". Click Edit to open Available tables.

  • Tables are grouped by area, such as First floor or Second floor.

  • Each table shows its capacity, for example 1–4 guests.

  • Switch off the tables you don't want guests to book online during this time.

5) Choose available experiences ✨
Below the tables, you'll see how many experiences are available. Click Edit to open Available experiences.

  • Each experience shows its duration.

  • Switch off the experiences you don't want to offer during this time. For example, keep brunch on in the morning and switch it off in the evening. 🥂

7) Save your shift or template
Click the blue Save button at the bottom. 🎉

👥 Step by step: Creating a Max Pax overrides rule

Want to keep your restaurant full but never overwhelmed? With Max Pax overrides, you decide how many guests you can welcome during a specific time. Busy brunch, calm service! 🧘

2) Choose the rule type and time
In the New rule window:

  • Type: Choose Max Pax overrides.

  • From / To: Set the time window the rule applies to, for example 10:00–13:00. ⏰

3) Set your guest limits

  • Max total guests: The total maximum number of guests you can welcome during this time. 👥

  • Max same time arrivals: The maximum number of guests who can arrive at the same time. Great for keeping things calm at the door! 🚪

Use the − and + buttons or type the number directly.

4) Confirm the rule
Click Confirm. Your rule now appears in the rules list with a quick summary of both limits. ✅

5) Save your shift or template
Click the blue Save button at the bottom. 🎉

⏱️ Step by step: Creating a Booking duration override rule

Does your tasting menu need a little more time than a quick lunch? Or do bigger groups simply stay longer? With Booking duration override, you decide how long each booking lasts during a specific time. No more rushing guests out the door! 🍷

And it works the other way around too! Maybe your lunch guests are in and out faster than you expected. Just shorten the booking duration for lunchtime, free up your tables sooner and welcome more guests. ⚡

1) Add a new rule
In your shift or rule set template, find the rules section and click + New. 👆

2) Choose the rule type and time
In the New rule window:

  • Type: Choose Booking duration override.

  • From / To: Set the time window the rule applies to, for example 10:00–12:00. ⏰

3) Adjust the duration of your experiences
You'll see a list of all your experiences with their default booking duration. Use the − and + buttons to set a different duration for this time, for example a longer brunch on weekends. 🥂

4) Set a different duration for group sizes (optional) 👥
Want bigger groups to have more time? Click + Add pax override and set:

  • Pax from / Pax to: the group size this applies to, for example groups of 3 to 10 guests.

  • the booking duration for each experience for this group size.

You can add more pax overrides if you need different durations for different group sizes.

📝 Good to know: Pax from and Pax to must be greater than 0, otherwise the rule can't be saved.

5) Confirm the rule
Click Confirm. Your rule now appears in the rules list with a quick summary of the durations. ✅

6) Save your shift or template
Click the blue Save button at the bottom. 🎉

💳 Step by step: Creating a Payments rule

Tired of empty tables from no-shows? With the Payments rule, you decide when guests need to pay in advance or leave their card details. Your tables stay protected, and your evening stays stress-free! 🛡️

1) Add a new rule
In your shift or rule set template, find the rules section and click + New. 👆

2) Choose the rule type and time
In the New rule window:

  • Type: Choose Payments.

  • From / To: Set the time window the rule applies to, for example 10:00–12:00. ⏰

3) Set up the payment

  • Require payment: Switch on the toggle so it turns blue.

  • Type: Choose from three options:

    • Full prepayment: Guests pay the full price of the experience when booking online.

    • Confirmation fee: Guests provide their card details when booking. If they don't show up, you can charge a no-show fee.

    • Card information: Guests provide their card details to confirm the booking. If the booking is marked as a no-show, you'll be prompted to charge the card.

  • Amount: Set the amount per guest. 💰

  • Minimum pax: Set the minimum number of guests for the payment to apply. 👥

💡 TIP: With Minimum pax, smaller groups can book without any payment, while larger groups are asked for it. A great way to protect yourself from big no-shows!

4) Choose which experiences it applies to ✨
You'll see how many experiences are available, for example "7 experiences available". Click Edit to open Available experiences and switch off the ones the payment rule shouldn't apply to. Click Confirm to save your selection, or Back to return without changes.

5) Confirm the rule
Click Confirm. Your rule now appears in the rules list with a quick summary of the payment type, amount, minimum pax and available experiences. ✅

6) Save your shift or template
Click the blue Save button at the bottom. 🎉

💬 Step by step: Creating a Custom message rule

Want to greet your guests with a personal note? With the Custom message rule, you can show a special message to guests booking during a specific time, such as a brunch welcome or a holiday greeting. A little personal touch goes a long way! 💛

1) Add a new rule
In your shift or rule set template, find the rules section and click + New. 👆

2) Choose the rule type and time
In the New rule window:

  • Type: Choose Custom message.

  • From / To: Set the time window the message applies to, for example 10:00–11:00. ⏰

3) Write your message ✍️
In the Custom message field, write the message you want guests to see.

4) Confirm the rule
Click Confirm. Your rule now appears in the rules list with a preview of the message. ✅

5) Save your shift or template
Click the blue Save button at the bottom. 🎉

📝 Just so you know: The custom message is sent as an additional message, so there may be additional charges related to it. 💬

🤝 Shifts and templates on the same day

Yes, a shift and a template can both be active on the same day! 🙌 The template takes over only for the hours it covers, and the shift still applies outside those hours.

For example: A 10:00–14:00 brunch template on Sunday replaces the shift during brunch hours, and your Sunday 17:00–22:00 dinner shift runs as normal. 🥂

🚫 Overrides

Need to close for a day? Use one of these overrides:

  • Online bookings closed: turns off online bookings for the whole day, whatever shifts or templates are active.

  • Closed: closes the whole day over any shift.

⚠️ If a ruleset template has also been added to that day, remove it. Otherwise, its hours may stay bookable.

💡 Examples for inspiration

Shifts:

  • "Lunch" Mon–Fri, 11:30–14:00

  • "Dinner" Tue–Sun, 17:00–22:00

Ruleset Templates:

  • "Summer brunch" added to weekends from June to August ☀️

  • "Christmas Eve" with shorter hours and prepayment 🎄

  • a one-off happy hour with a guest limit 🍹
