This article will explain how to work with the calendar view and the basics of the our calendar.

Written by Sebastian Reichel

Let’s explore the basics step by step. It’s very easy to use, so anyone can master it without any trouble. In this article, we’ll walk you through everything you need to know

🗓️ Calendar view

Click the Calendar button in the left corner of the main bar to switch between two views:

  • Timeline: a table view of your calendar, showing your bookings across tables and time.

  • Booking list: a list of all reservations in chronological order, with all the information related to them.

Your calendar also offers two display modes:

  1. Normal: for computers and bigger screens 💻

  2. Compact: optimized for tablets and phones 📱

Switching between them is easy. Just click the button on the left side of the calendar bar, the one that looks like two bars with circles on them.

🧭 Date navigation

Getting around your calendar is quick and simple:

  • Arrows at the top: move to the previous or next day or week. ⬅️➡️

  • Mini calendar: click a date to jump straight to it.

  • Today button: takes you back to today's date in one click. 📍

📆 Calendar view by time of day

Want to focus on a specific part of the day? Use the four buttons in the calendar bar:

  1. Breakfast ☕: the first button on the left shows breakfast time.

  2. Lunch 🥗: the second button shows lunchtime hours.

  3. Dinner 🍷: the third button shows dinner time.

  4. Whole day: the fourth button shows the entire day based on your opening hours.

🪑 Your tables

On the left side of your calendar, you'll find all the tables in your restaurant. Tables can be grouped by zone, such as First floor or Terrace, so you always know exactly where your guests are sitting.

📋 The right panel

The panel on the right gives you a quick overview of your day: how many reservations you have and what status each one is in, for example upcoming, seated or finished. You'll also see any notes related to your reservations here. 📝

🎨 Color coding of reservations

Every reservation has a color that shows its status at a glance:

  • 🟠 Orange: reservation is on hold

  • 🔵 Blue: upcoming reservation

  • 🟣 Purple: guests have arrived

  • 🟢 Green: guests are seated

  • ⚪ Grey: reservation is finished

  • 🔴 Red: no-show

How to change a reservation's status:

  • Click the reservation: a panel opens on the right, where you can use the arrows to update its status in the chronological order.

  • Right-click the reservation: change the status quickly, without opening the panel. ⚡

👀 The "See Today Rules" button

Click this button to see an overview of the rules set up for the selected date. It appears in the right panel.

  • Overrides: change the rules for the day with one click, for example to close online bookings.

➕ How to create a new reservation

Got a guest on the phone or someone walking in the door? Creating a reservation takes just a few clicks. Let's go! 🚀

1) Open a new reservation
Click the blue + button in the top right corner of your calendar.

💡 TIP: You can also create a reservation straight from the calendar! Just click the time slot you want in the calendar, and a new reservation opens. ⚡ Make sure you click the right time and the right table, so the booking lands exactly where it should. 🎯

2) Add the guest's details 👤

Already know this guest? Start typing their name, phone number or email, and Noona searches your client list for you. Just pick them from the results, and their details fill in automatically. All their reservations are then neatly kept together in their booking history, so you always know who's a regular! 📖

New guest? In the Guest section, fill in:

  • Name

  • Phone number: choose the country code and enter the number. 📞

  • Email address 📩

💡 TIP: Got a walk-in guest? Switch on the Walk-in toggle at the top, or simply leave the name field empty. It counts as a walk-in automatically. 🚶

3) Choose the party size 👥
Click the number of guests. Need more than shown? Use the arrow to see bigger numbers.

4) Pick the date 📅
Choose the month from the dropdown, then click the day. Use the arrows to move between days.

5) Choose the experience ✨
Select the experience the guest is booking, for example a standard reservation, a tasting menu or a brunch.

6) Pick a time ⏰
Under Choose what time, you'll see all available times for the selected day. Click the one that suits your guest.

7) Check the reservation details
A Reservation summary opens, where you can still adjust everything:

  • Date, Time and Guests: change them if needed. The − and + buttons work for time and guests.

  • Experience: switch to a different experience from the dropdown.

  • Duration: adjust how long the booking lasts.

8) Choose the tables 🪑
Tables are grouped by area, such as VIP salon, Terrace or Main area, and each one shows its capacity in brackets. Click a table to select it.

📝 Good to know: If you see "Not enough tables selected based on party size", the selected tables don't have enough seats for your guests. Just select another table, and Noona combines them for you.

9) Add the finishing touches

  • Created by: choose who on your team created the booking. 🙋

  • Booking notes: click Add to write an internal note, for example about allergies or a birthday. Don't worry, guests won't see this note! 🤫

  • Send SMS and Send email: switch these on to send the guest a confirmation. 📲

10) Confirm the booking
Click the blue Confirm button. 🎉
